Maxwell's Hotdesks – Terms & Conditions

By booking or using our services through the Maxwell's Hotdesks website, you (“you”, “your”, “the Licensee”) agree to the following Terms & Conditions. These conditions form part of your Licence Agreement with Maxwell's Hotdesks (“we”, “us”, “our”).

1. Licence & Term

  • This agreement is a licence, not a lease. It does not grant tenancy rights.

  • Use of the premises is restricted to 8:00 AM – 7:00 PM, seven days a week.

  • You must vacate the premises by 7:00 PM daily. Doors lock automatically and utilities (including Wi-Fi and USB power) are shut off after this time.

2. Fees & Deposit

  • All booking fees must be paid in full, in advance via the website.

  • Fees include desks, chairs, heating, lighting, Wi-Fi, lockers, and access to shared kitchen and toilet facilities.

  • A refundable security deposit may be required (typically 1–3 months’ fees). Deductions may be made for arrears, damage, or breaches.

  • Late payments may result in additional charges or penalties.

3. Services Provided

  • We provide: office desks, seating, heating, lighting, Wi-Fi, lockers, and cleaning of shared areas.

  • Facilities include kitchen, toilet, and copier access (note: no scanner provided).

  • The kitchen may be used as a breakout room.

  • Service interruptions (e.g., utilities, broadband) may occur and we are not liable where outside our reasonable control.

4. Use of Premises

  • The premises may only be used for general office purposes.

  • Use for retail, manufacturing, residential, or other non-office activity is not permitted.

  • No structural alterations or signage/branding may be installed without written consent.

  • A maximum of six (6) occupants are allowed in the space unless otherwise agreed.

5. Access & Security

  • Access is via electronic key system only.

  • The premises are fully alarmed and fitted with video monitoring in main corridors.

  • We are not responsible for personal belongings or business property brought onto the premises.

6. Insurance & Liability

  • We insure the building and hold public liability cover of €6 million.

  • You are responsible for insuring your own equipment, data, and business activities.

  • We are not liable for interruptions to services (utilities, internet, etc.) unless caused by our negligence.

7. Conduct

  • You must not cause nuisance, excessive noise, or disruptive behaviour.

  • Shared areas must be used respectfully and kept clean.

  • No pets are permitted, except for registered service animals unless otherwise agreed.

  • Criminal or unlawful activity of any kind is strictly prohibited.

8. Confidentiality & Data Protection

  • All users must comply with data protection laws and maintain confidentiality when using shared IT facilities and networks.

9. Termination

  • Agreements are rolling and may be terminated with 1–3 months’ written notice.

  • We may terminate immediately in cases of non-payment, breach of rules, nuisance, or unlawful activity.

  • Upon termination, you must vacate the office promptly and leave it clean and in good condition.

10. General Provisions

  • This licence is personal to you and cannot be transferred or sublet.

  • We may relocate you to a similar workspace within the premises if required.

  • Neither party is liable for delays or failure to perform obligations caused by events beyond reasonable control (e.g., fire, flood, pandemic, force majeure).

By completing a booking on our website, you confirm that you have read, understood, and agree to be bound by these Terms & Conditions.
